Overview
Macbrook Gas delivers retrofit work supported by the ECO4 Government Energy Grant. To secure funding, they must produce compliant project reports containing site photos with embedded GPS coordinates, dates and timestamps.
Their existing reporting platform had become unreliable, slow, and restrictive - and eventually failed completely. Without compliant reports, Macbrook’s ability to submit funding claims was at serious risk.
Bravand stepped in to rebuild and improve the reporting workflow, ensuring Macbrook could continue producing accurate, compliant documentation quickly and reliably.
The Challenge
Macbrook’s engineers typically capture more than 25 site photos per job, often at high resolution. These images must be processed into structured, compliant reports to support ECO4 funding submissions.
Their existing reporting platform imposed strict limitations that slowed the workflow and increased admin burden.
Restrictive upload limits
- Maximum file size per image: 5MB
- Maximum images per upload: 25
In practice, most jobs exceeded these limits. Images had to be resized or split across multiple uploads, creating unnecessary delays and repetition.
Failed uploads and rework
The system would occasionally fail to upload all selected images without clearly flagging errors. This meant Head Office staff had to manually check, re-upload and rebuild reports.
Manual corrections and ordering issues
- GPS coordinates required manual entry
- Images often appeared out of sequence in exported PDFs
Admin teams spent additional time correcting reports before submission.
The Solution
Bravand developed a purpose-built reporting tool designed around the real-world needs of site teams and compliance workflows.
Unlimited, reliable uploads
- No file size limit per image
- No limit on the number of images per upload
- Reliable upload process ensuring all selected images are included
Engineers and admin teams can now upload full job photo sets in a single action without resizing or splitting batches.
Automatic sequencing and metadata
- Images appear in reports in the order they are taken
- GPS coordinates and timestamps applied automatically
This removes manual correction and significantly reduces report preparation time.
The Results
Friction removed from reporting
Macbrook can now upload complete photo sets in one go - without resizing images, splitting uploads, or rechecking failed submissions.
Reduced admin rework
The new upload system ensures all images are processed correctly the first time, eliminating repeated tasks and manual corrections.
Revenue-protecting reliability
By removing system limitations and instability, Macbrook reduced the operational risk associated with compliance reporting - protecting a critical funding stream.
Why It Matters
This project highlighted how quickly a small operational bottleneck can become a major commercial risk.
When reporting tools fail, the consequences are immediate:
- No reports
- No compliant documentation
- No funding submissions
- Cash flow disruption
Bravand’s focus wasn’t just building a replacement tool - it was protecting a core workflow that keeps the business moving.
What’s Next
Macbrook’s reporting workflow is now supported by a tool designed around real-world site delivery needs - scalable, reliable, and built for compliance-driven industries.
Bravand is continuing development to enhance functionality further and explore how this solution could support other organisations facing similar reporting and compliance challenges.
